The knowledge to know how
Send large files by email
If a file is too large to attach to an email, you can upload it to a cloud storage service such as Google Drive, Microsoft OneDrive or Dropbox and send the recipient a link to the file instead.
All three services offer free accounts (with limited storage), so most people can use this option completely free of charge.
How to send large files by email
This method works with Webmail or any email app.
- Upload your file
Upload the file to Google Drive, Microsoft OneDrive or Dropbox using their website or app.
- Create a sharing link
Select the file and choose Share, Copy link or similar.
Check the sharing settings before copying the link. If appropriate, choose an option such as Anyone with the link and set the permission to View rather than Edit.
- Add the link to your email
Create your email as normal and paste the sharing link into the message.
For example, you could add: "I've uploaded the file to cloud storage. You can download it using the link below".
You can paste the full link or make text such as Download the file into a clickable link.
Google Drive
- Upload the file to Google Drive.
- Select the file and choose Share.
- Choose the appropriate sharing option and permission.
- Select Copy link.
- Paste the link into your email.
Microsoft OneDrive
- Upload the file to OneDrive.
- Select the file and choose Share.
- Choose the appropriate sharing option and permission.
- Select Copy link.
- Paste the link into your email.
Dropbox
- Upload the file to Dropbox.
- Select the file and choose Share.
- Choose Copy link.
- Check the sharing permissions.
- Paste the link into your email.
Check your sharing settings
Make sure the recipient can access the file before sending the email. For confidential or sensitive files, use a restricted sharing option rather than a link that can be accessed by anyone who receives it.
